This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at whetstoneadmissions.com, use the Whetstone Portal at app.whetstoneadmissions.com, or otherwise use our services.

Information We Collect

Contact Information. Information you voluntarily provide when you fill out a contact or consultation form, download resources such as e-books or guides, or communicate with us by email, phone, or other channels. This may include your name, email address, phone number, school name, graduation year, and any other details you choose to provide.

Account Information. When a Whetstone mentor creates your portal account, we store your name, email address, school, graduation year, and role (student, parent, or staff).

Academic Information. Information you provide through the portal, including GPA, test scores, coursework, extracurricular activities, honors, school lists, and essay drafts.

Session & Planning Data. Scheduled sessions, task deadlines, planning entries, and reflections recorded in the portal.

Google Calendar Data. If you choose to connect your Google Calendar, we access your calendar events solely to sync session schedules between the portal and your calendar. We read event titles, dates, times, and attendee email addresses in order to identify sessions between staff and students. We do not access or store the content of events unrelated to Whetstone sessions.

Usage Data. Login timestamps and basic engagement metrics, which help mentors support students effectively, along with general website analytics.

How We Use Your Information

Google Calendar Integration

Connecting your Google Calendar is optional. When you do:

Whetstone's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to train generalized artificial intelligence or machine learning models, and we do not sell it.

Data Storage & Security

Portal data is stored using Supabase (PostgreSQL) with row-level security policies, and our applications are hosted on Vercel. All data in transit is encrypted over HTTPS. Access to student data is restricted by role: students see only their own data, parents can view their child's data, and staff access is governed by caseload assignments. We use commercially reasonable measures to protect your information, but no method of transmission or electronic storage is completely secure, and we cannot guarantee absolute security.

We do not sell, rent, or trade your personal information. We share it only in the following circumstances:

We retain your data for as long as your account is active or as needed to provide our services. If you request deletion, we will remove your personal data within 30 days, except where we are required to retain it by law.
